Review practical expectations for appointments, payments, waitlists and how BrainLab handles website inquiries and personal information.

Cancellation and missed appointments

Appointments must be cancelled or rescheduled at least 24 hours in advance so the time can be offered to another client. A cancellation made less than 24 hours before the appointment, or a missed appointment, is charged at 75% of the clinician’s hourly fee.

Continued missed appointments may result in discharge from the practice.

Emergencies and late arrival

If an emergency affects your appointment, contact BrainLab as soon as possible to reschedule and discuss the fee.

A 10–15 minute grace period applies to late arrivals. A later arrival may require rescheduling to avoid disrupting other appointments.

New clients and waitlists

New service requests begin with an inquiry so BrainLab can understand the need and identify an appropriate next step.

The Toronto priority waitlist records interest in Toronto psychological assessment services. It does not confirm acceptance, an appointment date or a particular wait time.

Payment and invoices

Payment is required after each appointment. An invoice is emailed for insurance or funding submission where applicable.

Website screening tools

Screening answers and scores are calculated in the visitor’s browser. BrainLab does not receive or store questionnaire responses, scores, interpretation bands, subscales or safety responses. Reloading or closing the page clears the questionnaire unless the visitor intentionally prints or saves a copy.

Website analytics

BrainLab uses privacy-oriented website analytics to understand aggregate website use, how visitors reach the site, whether general website actions are completed and how the site performs. This measurement may include page paths, referring websites, campaign tags, device or browser categories, broad country-level geography, general conversion events and website performance measurements.

BrainLab does not intentionally send names, contact details, form contents, assessment-planning responses or results, questionnaire responses or scores, search terms, or other clinical or personal health information to website analytics. Analytics runs only on BrainLab’s production website and is configured without advertising trackers, session replay or cross-site remarketing.

Assessment Journey and display preferences

Your Assessment Plan stores broad planning categories—not names, contact details, questionnaire answers or scores—in this browser tab for up to 24 hours. Creating a plan does not send it to BrainLab. Details move toward an inquiry only after you review and approve the selected fields; submitting the form remains a separate intentional step.

Calm and Focus display preferences may be stored locally on the device so the site can remember them. On a shared device, use Reset my plan and Reset to default in Display options when finished. Screening-questionnaire responses, scores and crisis-related responses never enter the Assessment Plan.

Website inquiries and Zoho Forms

BrainLab Psychology Group collects limited contact, administrative and inquiry information when a person submits a website form. BrainLab uses it to understand and respond to the request, coordinate an appropriate service or review a professional referral. Website inquiries are temporary intake records; they are not clinical records and do not establish a therapeutic or professional relationship.

BrainLab uses Zoho Forms as a service provider for website inquiries. Zoho may process and store this information in the United States, where it may be subject to lawful access under United States law. BrainLab remains responsible for the personal information under its control and uses administrative, technical and contractual safeguards, restricts access to authorized personnel and does not use inquiry information for advertising or marketing.

Website inquiries remain separate from detailed clinical records maintained in BrainLab’s approved clinical systems. If an inquiry proceeds, only information needed for the next step is transferred to the appropriate system. Do not send detailed clinical records through website forms or ordinary email.

BrainLab retains inquiry information only as long as reasonably necessary for its purpose and securely deletes it under an internal retention procedure, subject to any documented legal, privacy, regulatory or litigation hold.

Access, correction and privacy complaints

To ask how BrainLab handles personal information, request access to information BrainLab holds about you, request a correction or make an internal privacy complaint, contact BrainLab’s Privacy Officer at info@brainlabpsychologygroup.ca. BrainLab will verify identity where appropriate and respond in accordance with applicable law.

If a privacy concern is not resolved, an individual may contact the Information and Privacy Commissioner of Ontario.

Questions about a service

Use the contact route that best reflects the reason you are reaching out. Please avoid sending sensitive health records or reports unless BrainLab provides instructions for an approved method.
